Role Overview 

 

The Office Coordinator is responsible for the smooth day-to-day operation of CEV’s Boston Headquarters and our hybrid/remote team. This role focuses on site operations, scheduling, calendars, vendor coordination, and administrative execution, and serves as the first point of contact for many inbound needs.

 

The Office Coordinator ensures that the entire office environment (both in-person and remotely) functions smoothly. This includes maintaining a welcoming and productive environment for team members, guests, and partners; coordinating logistics for meetings and events; and ensuring virtual and hybrid meetings are well organized and coordinated. The role supports executives and team members by managing shared calendars, scheduling meetings across multiple time zones, and assisting with travel coordination and expense processing across the team.

 

This individual will also be responsible for liaising with the coworking space provider, IT and service vendors, and other partners to ensure smooth daily operations. They will play an important role in coordinating onsite activities such as interviews, partner meetings, and portfolio events, while supporting internal communication and team organization.

 

This is a highly visible position within the firm, best suited for someone who is detail-oriented, organized, and proactive. Key Responsibilities 

  • Manage day-to-day office logistics, facilities, and hospitality standards
  • Own and maintain up-to-date calendars for firm executives, and for team-wide virtual meetings
  • Own a variety of vendor relationships, including coworking, software providers and IT
  • Serve as the first stop for general inbound inquiries, understanding and directing urgent and important communications
  • Assist with team travel arrangements around special events
  • Manage physical mail and process invoices as needed
  • Support the timely completion and processing of expense reports across the firm monthly in coordination with the Finance & Accounting Associate
  • Provide venue and onsite coordination support for a variety of events, including professional networking events, hybrid pitch meetings, portfolio onboarding, and more.
  • Provide event coordination and investment pipeline support to our sister organization, Clean Energy Venture Group, as needed and in coordination with their Executive Managing Director

Qualifications & Experience:

Qualified candidates will possess a strong combination of the following: 

  • Uncompromising integrity and professionalism, with a demonstrated reputation for discretion, reliability, sound judgment, and follow-through in high-trust environments
  • Strong emotional intelligence and interpersonal skills, enabling effective collaboration across a diverse, mission-driven team and with external partners, executives, and visitors
  • Proven ability to manage multiple priorities simultaneously, maintaining accuracy, responsiveness, and calm under shifting deadlines and competing demands
  • Experience supporting executives and teams in a fast-paced, hybrid or distributed workplace, including calendar management, scheduling across time zones, and administrative coordination
  • Demonstrated ability to own operational details end-to-end, including vendor coordination, facilities or coworking relationships, travel logistics, and day-to-day office operations
  • Strong written and verbal communication skills, with the ability to triage inbound requests, communicate clearly and professionally, and ensure timely follow-up
  • Prior experience in an administrative assistant, office coordinator/manager, or operations support role, ideally within a professional services, investment, startup, or mission-driven organization
  • Highly organized and detail-oriented, with comfort managing administrative processes such as expense reporting, invoice processing, and document handling

Clean Energy Ventures operates in a hybrid work environment when health and safety regulations permit. This role can be fulfilled remotely, with the expectation of semi-monthly travel.
